One of the common themes I observed last year was that often when business owners get busy they generally equate that to needing to hire more team members. This isn’t necessarily “wrong” but what is often overlooked is that creating strategic & streamlined operations creates more time, pushing back that time frame for when hiring is needed (and saving $$$ in the process).

Plus, when that team member does come onboard, their performance is better because the operational structure gives them the tools they needed to do their job to a high standard & without the business owner’s constant oversight.

Implementing systems is not always the solution.

A lot of business owners get to the brink of burnout before considering implementing systems into their business operations.

And then they find themselves in a mad rush and panic, hoping that systems will be their saviour, that they don’t have the time or resources to research for right systems for their requirements.

The result -> rushed implementation of systems (potentially doing more harm than good).

Here are 3 common (costly) consequences of rushed system implementation:

👉🏻 Lack of efficiency

Without auditing, reviewing and evaluating the systems you’re using, you’re unable to measure efficiency at all. This process is about finding the right system for the operational gaps in your business, not whatever system suits at the time.

👉🏻 Increased time wastage

It’s likely that the systems would have been implemented with barely any training if any at all. Resulting in the team members feeling confused, overwhelmed and unmotivated.

👉🏻 Loss of money

You may have implemented some fancy systems off the back of recommendations or social media adverts but ultimately, they’re costing you money. Money which is likely being wasted given the lack of efficiency noted above.

Moral of the story: Implement systems *before* you need them to allow some breathing space for auditing and evaluating.

Those of you who know me, know that I’m a Type A personality who LOVES structure, organisation and efficiency.

My favourite thing is to get my teeth into something, turn the chaos into calm and support you in creating a seamless business system that’s reliable, sustainable and incredible in achieving your business goals 😉.

A few things to be mindful of regardless of whether you’re looking to hire an OBM for a one-off project or a monthly retainer…

👉🏻 Communication is ALWAYS key. Be clear as to what communication methods you’re going to use (email, phone, Voxer) and stick to it. Arrange frequent check-in meetings to monitor progress and iron out any issues.

👉🏻 Boundaries - Expected hours of work, the process in unexpected absence, days or times you’re unavailable etc. Having clearly defined boundaries is essential in this working relationship and is mutually important for both the client and the OBM.

👉🏻 Expectations- if you’re not sure whether you want a one-off OBM or a monthly commitment, make sure you discuss with the OBM your expectations, ideas and requirements to check they’re the perfect fit for your business goals and needs.

👉🏻 Key Performance Indicators allow for a more thorough measurement of overall operational effectiveness and efficiency. Solely focussing on sales neglects other significant measures and provides a limited result and narrow-minded result.

👉🏻 Split testing allows you to measure performance and efficiency against different variables providing a more holistic and accurate view of the efficiency of that metric. If you’re not split testing, what are you measuring against?

👉🏻It can take weeks and sometimes months for operational changes to have a significant impact. Not auditing and evaluating these frequently results in your solely focusing on face-value performance, meaning you could miss blind spots, errors or even positive progress if not audited efficiently.
