Being responsible for our client's operations, I really didn’t have the bandwidth or desire to do it internally as well. It’s such a relief to know that my day-to-day business operations are all mapped out - it allows me to delegate more tasks to my team, confident they can get it done efficiently and to the required standard without my constant oversight. It’s also calmed the overwhelm with so many projects going on at once and created a solid foundation from which to scale into 2024 and beyond.
While Sneha and the team had the knowledge and expertise of how to build out a strategic and effective operational structure, they lacked the degree of separation to do it as effectively for themselves as they do for clients.
Rapid expansion means spinning lots of plates! Sneha needed a quick solution to ensure that the company’s operational structure could continue to deliver the increasing requirements without compromising its high standard of client service.
ClickUp is an exceptionally flexible software solution with an ever-evolving suite of functionality – Sneha wanted to ensure that functionality was fully leveraged to maximise process efficiency and visibility.
We built out all processes and tasks in ClickUp that Sneha and her team performed to give visibility of workload by day, week and month and what tasks were running behind. We also integrated estimated time to complete recurring tasks in order to effectively plan future capacity and ensure no team member was over or under-utilised and that all deadlines were adhered to. This was all pulled together in team workload dashboards to give a high-level view of everything going on and individual team member performance at a glance.
The Growth Chain® was (and continues to!) going through a rapid growth curve and so we built out the project plans with associated tasks, milestones, statuses and task descriptions for all upcoming programme launches and delivery. This, alongside the systems we had set up to manage and give visibility to the day-to-day operations, allowed for timelines to be accurately mapped based on team capacity and identify where extra resources were needed to be able to deliver projects in the desired time frames.
With the business rapidly growing, so was the requirement for Sneha to delegate to her expanding team. We built out detailed Standard Operating Procedure (SOP) documents for the core business processes and policies to clearly communicate how to perform specific tasks to the standard required. This also allowed for the information to be available on demand for team members to independently consult without requiring Sneha’s time to verbally communicate with them. This ensured that if a team member left the business or was unable to work, someone else could pick up the process and perform it consistently and without business interruption.
Team RG had incredible attention to detail and designed and implemented streamlined processes that save us so much time for both now and ones we know we need in the future. They also used features and automations that we didn’t even know existed to save us so much time!
