How do I know if ClickUp is the right tool for my business?ClickUp is highly customisable and adaptable to various business models and we believe the most comprehensive “off-the-shelf” task management and business organisation tool on the market. Our service is less about the tool though and more on creating really robust, efficient and effective processes - ClickUp is just the software we use to facilitate the deployment of these processes. During our initial consultation call, we’ll assess your specific needs and ensure ClickUp is the right fit. If it’s not, we’ll guide you toward the best solution for your agency.

Will I lose the flexibility I’ve built into my client experiences?Not at all. Our approach is to build systems that work with your preferred style, not against it. We’ll customise the processes to ensure you can deliver and facilitate your services to the highest standard, without the stress and overwhelm.

That’s why we provide ongoing support, including training and check-ins, to help you and your team stick to the new processes. Will this service disrupt my current operations?Not at all. We work around your schedule and customise our project plan to ensure minimal disruption. The goal is to create a seamless transition, so your team can keep working effectively while we build out the new systems.

How are these templates different from other ClickUp/operations based templates?We have worked with clients that have featured on platforms such as TedX, Forbes and Thrive Global and are generating annual revenue of up to £10 million+ a year to design and structure their operations, as well as hire and manage their teams.
We have on-the-ground, lived experience in hiring, management and leadership of hundreds of people over the last decade, both in corporate and creative industries. These templates and resources have been created as a direct result of this experience.

What formats does each template come inMost templates come in multiple formats in order to provide you with flexibility with what software you wish to use in your business. You can see which format each template comes in by looking at the coloured tags associated with them.
When you buy a template, you get access to all of the formats that the product indicates via these tags. It is intended that you select your preferred format and then download and use that format only (although you are also welcome to use them all, they are your templates!).
Please note that where using the CSV import option, it may not have the same capability or functionality as other formats, as it depends on the features available in your chosen software and how well their import feature works, which we are not in control of.

What happens when I make a purchase?You will be sent two emails immediately upon purchase; one is a receipt and the other with details of how to log into your portal and access your product(s).
When you’ve logged into the portal, check out the short welcome video giving you a tour of the different sections and our recommendation for moving through them and then go ahead and download and customise the assets you purchased!

How long do I have access to the templates?
For as long as we sell them. If we do ever decide to discontinue a product, or the shop itself, we will give you 30 days notice to download any templates and training and support resources out of your portal so you can retain access to them for as long as you wish.

Do you help me import and customise the templates?We have a dedicated Training and Support hub you will gain access to on purchase that has all the steps (both in written and video form) for you to download templates in each of the formats we provide.
In addition, each of the templates (excluding the formats noted below) have a custom video tutorial walking you through exactly how to set up, customise and leverage your template for your business.
We are unable to provide custom video tutorials for CSV formats as it entirely depends what software you are using as to how you would set it up and customise it. You can, however, watch the video tutorial for the alternative format(s). We don’t provide any templates exclusively in a CSV format for this reason.
The Google Docs, Google Sheets and Canva based templates have a combination of written instructions and video tutorials depending on the level of knowledge required to use the template.
There is no customised or 1:1 support included in the price of the templates. We do, however, provide access to a limited number of discounted 1:1 calls for customers of our digital shop each month to provide additional support in setting up and customising templates for your business. Access to these is not guaranteed and we may cease offering these at any time.

Do these templates need a paid plan for the software they are sold for?All of the templates that we sell can be used in the free version of the software for which they are designed, with any exceptions noted below:
- Email automations in ClickUp templates only work on the Business Plan or above
However, you may find that there are usage limits dependant on the plan you are on. For example, there is a limit to the number of custom fields you can use in ClickUp. If you have already used the number associated with your plan, or if in using your template you reach your limit, then you may want to consider adjusting your plan.

I want to use one of your templates in a software not listed, is this possible?Maybe, but they aren’t quite as easy to use. You have a couple of options:
Watch the walkthrough videos of the other format(s) and use that to design/inform your asset creation in your desired software. Please note that you may not be able to recreate a template like for like in another software as it may lack the functionality of the software we have built templates for.
Where a product indicates that it is sold in CSV format, you can check if the software you wish to use with the template has a CSV import option. Please note that where using the CSV import option, it may not have the same capability or functionality as other formats, as it depends on the features available in your chosen software and how well their import feature works, which we are not in control of.

What is your refund policy?Due to the digital nature of these products (as in you receive instant access on purchase), you will not be entitled to receive a refund, so please do check that you are purchasing the correct product or service to meet your needs. Your other statutory rights to a refund remain in place in the usual way. Please do read through our Terms of Sale for more information before purchase.

How do the multi-buy discounts work?While all of our templates can be used in isolation, they are also complementary and work really well together. We therefore offer the following discounts for purchasing multiple products together so you can pick’n’mix them to your choosing:
- Buy 3+ products >> 10% discount
- Buy 5+ products >> 15% discount
- Buy 10+ products >> 20% discount
These discounts automatically apply or update to the items in your cart when you add the required number for the discount to become applicable, there is no code needed.
Please note that the pre-made bundles are not included in the multi-buy discount offer, as the templates included already have a higher discount applied than if you purchased them individually, or as part of the multi-buy discount noted above.

I’m a tech novice, is it difficult to install the templates?Don’t worry, we have you covered! All of the ClickUp, Airtable, Zapier and ActiveCampaign templates have dedicated video tutorials included to show you how to import, use and customise them. The Google Docs/Google Sheets/PDFs have a combination of written context and video tutorials depending on the level of knowledge required to use the template.
All the tech platforms we recommend have great training resources and customer service support on how to use the platforms themselves and if you have any specific questions about the templates, you can shoot us an email at support@rachaelgunn.com and we’ll get back to you.

What’s your refund policy?We want you to be satisfied with your purchase, but we also want you to give your best effort to implement and use all of the templates and training provided. While we do not provide a guarantee, we do offer a 14-day refund.. In order to qualify for a refund, you must submit proof that you implemented the templates provided and they did not work for you.
In the event that you have not been able to get any results from the product you purchased and implemented, please contact us at support@rachaelgunn.com within the first 14 days from the date you purchased your bundle and let us know if you would like a refund.
With your request for a refund, you must include evidence that you implemented the templates. Requests for refunds will not be granted if this is not included.
We will not provide refunds for purchases made more than 14 days from the date of purchase.

Please note that where using the CSV imports, it may not have the same capability as the ClickUp templates, it depends on the features available in your chosen project management software.

How long do I have access to the bundle?For as long as we sell it. If we do ever decide to discontinue it, we will give you 6 months notice to download everything out of your portal.
You will also have access to any future updates for free.

How much time do I need to commit to get everything set-up?The templates and resources are designed for you to pull from when you need them.
To get the best possible outcome, we recommend sitting down and implementing each individual section (hiring, onboarding, management and offboarding) in one sitting. Each of the four sections is designed for you to be able to watch the training videos and implement in 1/1.5 hours, depending on the size of your existing team and how far you want to deviate from the suggested processes in the templates.
We suggest working through one section a week for 4 weeks.

Do I need to pay for the systems in order to use this bundle?The ClickUp and Airtable templates will work in the free versions of each tool, but will lose some capability as they leverage some features that are only available in the paid plans.
If opting for the Airtable and ActiveCampaign version of the application and hiring system, you will need paid plans for both ActiveCampaign and Zapier.
Using a different email marketing software instead of Active Campaign? We show you in the associated walkthrough video how to adapt the template to work with alternate email marketing providers (Zapier integration must be supported). -
I just have a Virtual Assistant for a few hours a week, do I really need this?It doesn’t matter if your team member is a contractor doing 5 hours a week for you, or a full-time employee - hiring, onboarding and managing contractors is just as important as it is for employees.
There is a common misconception that because they are a contractor/freelancer, that you can spend less time on this and it just isn’t true. There are some fundamental basics that need to be covered regardless of the contract type or number of hours they will work for you in a week. -
Who would these bundles NOT work for?These templates and resources are unlikely to work for you if:
- • You can’t find the time to implement them
- • You don’t have a team and aren’t planning on having one
- • You are looking to hire an agency rather than a core team member
- • You have embedded, pre-existing issues with team culture
- • You need more more done-with-you or done-for-you style support, rather than DIY

Can't I just create all this myself?Sure! I am pretty damn good with my systems though, and these templates have been almost a year in the works, with dozens of iterations I have tried, tweaked and tested in both mine and my client’s businesses over that time.
Even if you are pretty good with building systems and designing workflows yourself, it will still take you much longer to build these from scratch.

I don't use ClickUp, can I still use this template?Yes, but it requires a bit of extra work on your end. Included is a CSV file for you to upload into your chosen project management software, as well and instructions on how to do this. Please note that some of the functionality available in ClickUp may not work in other project management software as this template has been designed for use in ClickUp.
Both ClickUp forms (Client Intake and Client Feedback/Testimonial) are also created as Airtable versions as well! -
